Property Managment

Our client is looking for a Property Administrator for a four-month contract, Monday to Friday in Ottawa, Ontario. Do you enjoy providing excellent day-to-day support to the Operations and Management team as well as providing amazing customer service to all tenants?

Primary Duties/Responsibilities:
  • Develop and maintain professional, and courteous relations with team, contractors, and tenants.
  • Demonstrate strong initiative and customer service orientation.
  • Support the administration of all activities related to the physical operation of the property.
  • New tenant move-in administration such as checklist set up, checklist items completed and updated, tenant welcome letter, tenant manual, setting up files.
  • Handle tenants move outs such as security deposit refunds, etc.
  • Collection and documentation of tenant rents and tenant contact information.
  • Administer payments, review leases and update Property Managers of any delinquent accounts.
  • Handle all tenant billing changes annual prebills and annual recoveries statements.
  • Support the fiscal activities of the property including, but not limited to monthly accounting, budget support.
  • Analyze and interpret various types of data to draw conclusions and solve problems.
  • Manage all tenant parking administration as well as building storage room administration and maintenance of master lists.
  • Manage office property facilities including Building boardroom bookings.
  • Document management such as business letters, reports, recommendations and meeting minutes where required.
  • Exchange ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions.
  • Liaise with the Tenant Service Coordinator to ensure communication and notices are send out to tenants.
  • Office reception duties as required such as greeting office guests, offering them a beverage, answering phones, collecting mail and filing.
Requirements:
  • 3 years of commercial property management experience.
  • Proven understanding of property management systems and processes.
  • A strong work ethic.
  • Results and detail orientated.
  • Ability to multi-task.
  • Proficient with full Microsoft Office Suite.
